Louise runs Fine Thread Embroidery out of Kyalami, Johannesburg. She is the kind of studio owner who knows every client by name, hates losing orders in the noise, and does not like change. Before Only Threads

The studio was running on memory, spreadsheets, and a lot of WhatsApp.

Fine Thread Embroidery is a busy studio. Louise juggles corporate workwear, golf estate uniforms, repeat clients, and new enquiries — all at once. Like most embroidery studios, she had built a system that worked, mostly, because she held it together herself.

Orders were tracked in a spreadsheet. Artwork arrived by email or WhatsApp, whichever the client happened to use that day. When an order was ready, the client found out by asking — a WhatsApp to Louise, a call, a message. She would check the spreadsheet and reply. That was the system.

It is a system that works until the volume goes up, or Louise steps away, or a client sends artwork to the wrong number. Then it does not work at all.

Louise went live during a normal trading week. There was no shutdown, no period of parallel running that stretched on for a month. The orders moved into the portal, the clients started receiving automated email notifications, and the spreadsheet stopped.

The “Is my order ready?” WhatsApps stopped too. Clients now have a status they can check themselves. Louise does not need to be the person in the middle of that any more.

Artwork flows through a structured process. Quotes have a place. The working day is about embroidery — not about chasing the information that should already be somewhere obvious.
